Specify the individuals who are a part of the research team on the Personnel page. The protocol’s research team is comprised of the Principal Investigator (PI) and any other individuals who contribute to the scientific development or execution of a project in a substantive, measurable way. Key research personnel are those individuals who obtain consent from human subjects, recruit human subjects, or evaluate the response of human subjects.
The Personnel page has two main component areas that allow for selection, entry, and maintenance of person information.
Personnel Section | Description |
---|---|
Add Personnel | Used to add personnel and assign a protocol role to each person. Click on the WVU Login Search icon to activate the person lookup feature and search for employees registered in the WVU Identity and Access Management System (Login) or search for non-WVU employees (who do not need access to WVU+kc) by clicking on the Non WVU Login Search icon. Return the value once the appropriate person has been located in the search results. Select the appropriate personnel role from the drop-down menu options and click the add person button to add the person to the protocol. |
Person Details | Once a person has been added to a protocol, a tabbed, expandable person section labeled with the first and last name of the person followed by their protocol role appears below the Add Person section Click the show button to display four expandable sections which include Person Details, Contact Information, Attachments, and Unit Details.

The PI that was added in the Required Fields for Saving Document section on the Protocol page will automatically appear on the Personnel page. However, a summary of qualifications must be added to the PI for all protocols within the Person Details subsection for the PI. Click the show button next to the protocol role to display the four subsections and click the show button to display the Person Details subsection. Click within the text box to provide a brief statement of the PI qualifications to conduct the research.
Adjunct faculty and any investigator whose status is considered to be “in training” (e.g., students and medical residents) may generally not serve as a Principal Investigator but may serve as a co-investigator. Students must have a faculty sponsor who fulfills the PI eligibility criteria and who will serve as the Principal Investigator and faculty advisor on the study.
Non-WVU Research Team Members
Non-WVU research team members can be added to a protocol. There are two options for adding non-WVU team members: those who will need access to the system to edit the protocol or those who will need added to the protocol as a research team member but will not need access to WVU+kc.
First, search to see if the non-employee has already been registered in the WVU Identity and Access Management database and has been provided a valid WVU Login by searching for the person via the WVU Login Search. If the person cannot be found via the WVU Login Search, a Login can be requested for this person via the WVU ITS request form for WVU Login Help. These requests are to grant temporary access for users who do not have a Login but need to use a system that requires Login authentication, such as WVU+kc. Special account requests must be made by someone with a valid WVU Login.
Refernce the Add Non-Employees to IRB Protocol guide for details.
Non-employees who are provided a Login in order to access the system will show up in WVU Login Search results as long as their Login is valid. If their Login expires and the person requires access to WVU+kc in the future, access will need to be requested again.
Search for them through the Non-WVU Login Search. If the non-employee does not generate in the appropriate search results, you must request that the person be added to the system by contacting the WVU Information and Technology Services Service Desk at 304.293.4444, oithelp@mail.wvu.edu or by logging a ticket via the Service Desk Express (SDE) Self Service and providing the following information for the person that needs added:
